What does an air waybill include?

An air waybill is a non-negotiable document issued by an air carrier. It must be completed after the order has been booked onto the aircraft, and is essential for ensuring timely shipping of your goods.

All air waybills must contain contact details of the company or individual sending the package, as well as the name and address of the customer to whom the package is to be delivered. This helps to avoid the parcel being delivered to the wrong destination, resulting in a more cost-effective and accurate shipment.

The waybill will also provide details of the preferred method of payment, as well as the terms and conditions on which the shipper operates. It informs customs of the contents of your shipment, ensuring that it passes through quickly and reaches its destination on time.

Each air waybill has its own identification number, which can be used to help you track your shipment when entered online. Waybills will also include an expiration date, and cannot be used as a valid document once this date has passed.

Why waybills are important

Preparing an air waybill is essential for any international shipment. The document is proof of the contract agreed to between the shipper and carrier, and provides evidence of receipt of the items for shipping.

Air waybills can ensure a smooth delivery of goods to the recipient. Their unique identification numbers allow for an accurate tracking of the shipment, and they can assist with the customs declaration process by providing a detailed description of the contents.

The air waybills can also be used as freight bills addressed to the recipient, detailing any shipping charges that need to be paid. It is likely that the carrier will keep a copy of the original waybill. This will be used to assist them with accounting purposes.

An air waybill can also serve as a guide for the safe handling and delivery of goods. This greatly reduces the chances of the shipment being damaged and ensures that it reaches its predetermined destination in pristine condition.

The waybill serves a variety of purposes essential for accurate shipping. Not only does it act as a contract of carriage and handling guide, but it can also advance the customs process to make for a timely delivery.

Tips for filling out your waybill document

As an air waybill is non-negotiable, it is important to ensure all details are accurate. At times this can seem like a daunting process, but there are a few simple steps you can take that can help you create a waybill.

Firstly, it is important to enter the payer account number, which should then be followed by the account number of the shipper. If a payer account number is not specified on the waybill, all transportation charges will be invoiced to the shipper, so it is essential to enter the payer account number for payment by the recipient.

A contact name and shipper's reference should also be provided on the waybill, as well as the name and address of the shipping company. It is also mandatory to include the full address of the recipient, clearly stating their country, postcode and at least one method of contact.

Furthermore, the waybill must state the quantity of items to be shipped, as well as the overall weight and size of each package. A description of contents must also be given along with their precise value.

Finally, once the shipping service has been selected, the shipper must sign and date the waybill.
